Communications Team Minutes - November 3, 2005

Deanna announced that she has been tracking the number of people who open the News Briefs electronically since September 26th, and that on average only 46% of the faculty/staff open the News Briefs.
Keith passed out the AQIP project worksheet and explained that the form is expected to be filled out and return to the AQIP committee at a later point in time.
Current forms of communication were discussed/listed: E-mail, News Briefs (students/faculty/staff), The Leader (surrounding three counties), News Releases, and Bulletin Boards. Other forms of communication suggested: Bathroom stall doors, information placed in high traffic areas such as copy machine rooms, break rooms etc., '24/7' access to updates on the web.
The Communication Team discussed developing a campaign to distribute communication regarding the Achieve the Dream initiative.
Several things were suggested for the internal campaign. The committee agreed that it is important to gain internal support first, before we try to gain/promote external support
There were several suggestions for internal support/information distribution:
- Describe the Who/What/Why/How/Potential Outcome of AtD
- Form an 'association' with AtD (i.e. - use one color for all announcements regarding AtD)
- Let faculty know that they don't need to 'give' more.
- Don't mention AQIP and AtD together (Faculty tends to dislike AQIP). *Create one slogan/logo. We discussed 'Dream It', the 'it' thing. 'Helping Students Achieve the Dream'
- Turn in into a fun game or do trivia . important to keep the messages very simple to understand and easy to read.
- Explain what AtD isn't (basically reverse any misconceptions that may be out there regarding AtD)
- Tell success stories (highlight on faculty as well)
The use of data was briefly touched upon. It was a consensus that even if our data is bad or negative we should still use it, because it's part of owning up to our mistakes and flaws and showing our improvement.
Betty mentioned a book called 'The Quiet Crisis' that may be of some useful reading material.
As a committee, we need to determine what 'success' is.
