Communications Team Minutes - May 9th, 2006

The minutes of April 13th were approved with minor corrections.

Committee Updates

Web Team:
Intern, is continuing to work on the website but will be finished with his internship at the end of Spring Quarter. Anyone will information to submit for the website can contact him directly through spring quarter. After spring quarter information should be forwarded to Nikki Workman.

Events Team:
The Celebration Cookout will be staged in the parking lot behind the Kee Hall building on June 6th. Team members are needed for set-up, cooking and serving food. AQIP will also be supplying volunteers for this event. Start time will be 9:00 a.m. to prep. Food will be served from 11:00 a.m. - 1:30 p.m. Clean-up should be finished by 2:30 p.m. Diane Hipsher/AQIP will be in charge of menu. Dress code will be addressed with Doug Hanuscin by Nikki Workman. Decorations will include tablecloths and possibly balloons. Banners and posters will also be utilized listing achievements of AQOP and Achieving the Dream committees (Keith Stoner). Volunteers will be asked to work in 2-hour shifts. All members are needed for this event. An e-mail notice will sent to employees announcing the event. Rain date is scheduled for June 8th.

Message Team:
Ongoing determination of materials/articles for publication in the newletter updates. Consideration of adding external key people to the newsletter mailing list was discussed.

E-mail Team:
No report.

Newsletter Team:
It was noted that due to the deadline constrictions of the latest newsletter that not all members of the team had the opportunity to review and/or edit the edition. Now that the team has more lead time on the next issue all members will be notified and included in these responsibilities. It was also noted that the team will not extend deadlines to accommodate members who do not meet the editing deadlines.

Discussion was held regarding whether the newsletter should be incorporated into the Students NewsBrief newsletter.

Several members were concerned that not all the information (ex. outcomes approach) was on a positive note and without a clear understanding of the initiative some students may feel that the college is categorizing and/or stereotyping certain groups of students. It was recommended that the Achievers & Dreamers stories be included as well as including a frequently asked question section that could provide services/resources information to students.

A suggestion was made to repackage the "Early Alert Form" for faculty/staff for fall quarter to better facilitate its use. A sidebar in the newsletter could announce the availability of information.

Distribution Team:
No report. It was noted that this team will be more heavily utilized in fall quarter.
