Communications Team Minutes - January 10, 2006

Kimberly Lybarger opened the meeting and welcomed members and guests. Sharon Ghoulay joined the meeting at the request of Lynn Damberger. Sharon is on the team of students who are working on developing a website for the Achieve the Dream initiative.
Nikki Workman gave an update on the compilation of communication surveys. Deanna passed out a package of the compilation results. It was noted that the responses were varied on personal preferences for communication needs. It did appear however, that the majority of results identified either e-mail or face-to-face (such as open forums) as the preferred venues.
Therese Bushner updated the team on her efforts of locating examples of communication Models for review. Although her research has not produced any effective type of models to preview, she suggested that we perhaps use the present vehicles of communication that are already in place. She noted that we such push forward with our communication ideas and develop and refine our resources as we go.
Some suggestions for utilizing current communication vehicles would include dedicated space in newsletters, the website and inclusion on agendas of key meetings on campus. We should contact the various committee teams for updates and/or information that will need to be published.
Deanna and Kimberly had suggested that an employee newsletter might be another format for delivering pertinent information regarding the AtD initiative as well as updates/announcements from other key areas.
Lynn Damberger stated that the development of the web page will allow information to be posted in full content so that summarized articles can be initially sent to employees with access to additional information on the webpage. Including a link in the e-mail and/or newsprint will give the link. Discussion included whether there should be a faculty/staff link separate from a student/community link. The webpage will be set up through the Intranet and will be on a separate host page. Some of the information that could be included on the web page would be: Updates from various AtD teams, summary report from the engagement teams, Achieve the Dream resource links, etc.
Peg Moir joined the discussion with a refined view on what the charge is for the Communication Team as a committee of AQIP. Peg was concerned that the project for a full blown communication plan may be too overwhelming (and time consuming) for the Communication Team to handle at this stage (and indeed may not be the responsibility of this team). It is important for a plan to be implemented for a communication model to begin to disperse information on the Achieve the Dream initiative. Peg felt that if the team could focus on the AtD initiative as the single element of information to be communicated at this time that in the future other elements of communication could be added to the process (ex: newsletter, etc.)
Deanna asked if the Action Project Worksheet form had been completed. Keith indicated that the form was due on Friday and that he would complete the basic information that the form requires.
General discussion regarding how we can implement the dissemination of communication coming from the other teams. It was noted that the time frame of this information needs to be urgent in order to keep the college community abreast of new information releases.
The next meeting is scheduled for Tuesday, February 14th, 3:00 - 5:00 in room 127-KH.
